County Rejection Protocol
If the county clerk rejects a file due to formatting, margin errors, or missing tax declarations, Karl & Sons provides 1 complimentary resubmission after client corrections. Additional attempts incur a $15 resubmission fee.

Customer Verification Duty & Refund Terms
It is the customer's sole duty to verify whether their target county is supported for direct e-recording using our coverage checker prior to submitting a filing request.
The $5 deposit stages the filing process and initial document check, and is fully deducted from your final total cost ($40 or $50 process fee + county fees).
If you request filing for an uncovered county, your $5 deposit can be applied as a direct credit toward a Remote Notary or DocuSign session!
Session Credit Transfer
While cash refunds are not issued, if your county requires custom setup, we apply your full $5 deposit toward any remote notarization or electronic signature session.

Statutory Notary Fee Compliance
All electronic notarial fees charged by Karl & Sons LLC comply strictly with statutory limits under state laws (including NY Executive Law § 135-c and 19 NYCRR § 182.11), capped at statutory amounts per electronic act. Additional line items represent non-notarial administrative fees agreed to prior to service.
County E-Recording & Statutory Fees
Karl & Sons LLC operates as an authorized electronic submission agent via Simplifile. Statutory county recording fees, cover page surcharges, and municipal transfer taxes are set directly by individual county clerk offices and billed at actual cost. The upfront $5 deposit stages the process and is fully applied toward your total invoice cost.
County Rejection & $15 Resubmission Protocol
Clients are solely responsible for ensuring submitted files satisfy county formatting standards (including 3-inch top margins, correct PIN/APN, and legibility). If a document is rejected by a county clerk:
• 1st Resubmission Included: Karl & Sons LLC provides one (1) complimentary courtesy resubmission following client corrections.
• Secondary Resubmissions: Any additional resubmissions required due to uncorrected or secondary client errors incur a $15.00 resubmission fee per document/attempt, payable prior to re-uploading.
* Statutory county clerk fees processed by the county are non-refundable.
Payment Terms & Fee Policy
Invoices are due upon receipt. We deliver completed document packages and platform verification certificates promptly after payment confirmation.
• Administrative / Setup Fee: A $5 non-refundable platform fee applies to any intake session canceled or left incomplete after 30 days.
• Initial Late Fee: A $10 administrative late fee applies to all balances unpaid after the 7th calendar day from the invoice date (and any promotional or negotiated discounts are forfeited).
• Overdue Balance Fee: An additional 2% per month (or maximum allowed by NY law) will accrue on any balance unpaid past 30 days.
Accepted Payment Methods: Payment is collected after service completion via Invoice (Zelle, Cash App, Venmo, PayPal, & Credit/Debit Cards).
